We're looking for a Office & Manager Assistant who keeps both our people and our workplace thriving, acting as the backbone of our daily operations and a key support for our management team.

Who we are looking for 🔎
A pragmatic, high-energy, and proactive person who can come in and help us in a couple of different areas where structure and ability to take ownership will be key traits for success.
We are looking for someone with a high school diploma (gymnasie-betyg) and some extra work experience in a service-related field. The most important thing is not a long resume, but a drive and care for making things run well.
Responsibilities 📚
Office Operations
Oversee all aspects of office operations to keep the workplace running seamlessly, including:
- Managing deliveries, food, snacks, and office supplies.
- Coordinating in- and outgoing post and couriers.
- Maintaining key vendor relationships, particularly with our landlord and cleaning firm.
- Ensuring the office provides a top-notch first impression for all visitors.
- Assisting and organizing events and initiatives that build culture and engagement
Management Team Support
Act as a dedicated supporting organ for the management team and CEO to help get things done in a timely manner. This includes:
- Coordinating schedules and managing bookings (e.g., travel, accommodation).
- Overseeing expense management, including processing and submitting receipts and managing general office-related invoicing.
Recruitment Coordination
Assist the HR Manager and Management team in administrative recruitment processes, such as sending out meeting invitations and reminders for interviews.
Requirements 🌈
- Highly organized with a can-do attitude and strong attention to detail.
- Skilled at juggling multiple priorities and keeping things running smoothly.
- A people person who enjoys creating a great workplace experience.
- Comfortable working with confidential information and managing administrative tasks for senior leadership.
- Highly proficient in written and verbal English communication. Due to the local nature of office operations, a good command of Swedish is also required.
